Office Administrator at Buckler Systems

Job Description
The Office Administrator will be responsible for managing the day-to-day operations of the office, ensuring a smooth and efficient environment. Key responsibilities include:
- Opening the office in the morning and securing it at the end of the day.
- Receiving and welcoming guests with a friendly demeanor.
- Maintaining an organized and tidy front office reception area.
- Supervising the duties of cleaners and security personnel.
- Supporting other departments to ensure smooth office operations.
- Managing visitors’ entries and exits.
- Coordinating and scheduling travel, meetings, and appointments for senior officials.
- Ensuring regular cleaning and maintenance of the office environment.
- Maintaining accurate staff contact lists.
- Handling photocopying, mailing, and administrative tasks.
- Following up on orders to ensure timely delivery.
- Reconciling monthly utility statements.
- Overseeing the duties of lower-level employees.
- Liaising with IT support to maintain office systems.
- Announcing staff birthdays and other events.
- Ensuring all office equipment is in working order.
- Answering and directing phone calls and responding to inquiries by phone and email.
- Issuing passes and signs for visitors.
- Taking minutes during meetings.
- Managing expenses and petty cash records.
- Directing visitors to appropriate locations within the office.
- Updating the Fixed Asset Register.
- Organizing stationery orders and maintaining sufficient stock levels.
- Arranging procurement of consumables such as water, beverages, and coffee.
- Performing other duties as assigned.
Qualifications
- Educational Background: A degree or diploma in Business Administration, Office Management, or a related field is preferred.
- Experience: 2-3 years of proven experience in an administrative or office management role.
- Technical Proficiency: Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and familiarity with office management software.
- Communication Skills: Strong verbal and written communication skills, with the ability to interact professionally with all levels of staff and external stakeholders.
- Problem-Solving Ability: Demonstrated ability to identify issues and implement effective solutions promptly.
- Organizational Skills: Exceptional organizational skills with keen attention to detail and the ability to multitask effectively.
