Job Purpose
The Store Support Officer ensures effective coordination of store administrative, financial, and operational reporting tasks. This includes preparing accounting reports, daily stock management, inventory controls, and supporting overall restaurant operations.
Core Responsibilities and Key Duties
Store Financial
- Manage store documentation and transmit to Head Office.
- Post invoices and inter-store transfers into the ERP system.
- Confirm Daily Sales Analysis (DSA) and banking activities.
- Manage weekly petty cash and store float.
- Assist with monthly GP reports and management reporting (P&L, stock reports, etc.).
- Supervise stock movements and participate in monthly stock take exercises.
- Coordinate with vendors and regulatory bodies for store compliance.
Operations Reporting
- Ensure daily stock receiving and variance updates.
- Maintain weekly stock reports and ordering records.
- Update accurate entries on the ERP system.
General Store Administration
- Handle recruitment documentation, leave requests, and HR submissions.
- Maintain store notice board with relevant information.
- Process waste collection bills and vendor cheque distribution.
- Monitor security guard registers and compliance.
- Support Restaurant Manager in resolving compliance issues.
Key Performance Indicators
- Timely daily stock movement and reporting.
- Accuracy in ERP postings and GP/P&L reports.
- Effective weekly ordering and forecasting.
- Timely administrative documentation and reporting.
Requirements
Educational Qualifications
- Bachelor’s Degree in Accounting, Finance, or related field.
- Hospitality certification (HORECAB or equivalent) is an advantage.
Experience
- Minimum of 2 years in a similar role.
- Background in food and beverage service is preferred.
Skills & Knowledge
- Strong inventory management experience.
- Proficiency in ERP systems, MS Excel, PowerPoint, and Word.
- Strong organizational and reporting skills.
- Knowledge of resource allocation and cost management.
