Job Description
Raphael Group seeks a highly skilled and professional Executive Assistant to support our Managing Director (MD). The ideal candidate is proactive, detail-oriented, and excels in organization and communication, demonstrating discretion and efficiency in handling diverse tasks.
Key Responsibilities
- Manage the MD’s calendar, schedule meetings, and coordinate travel arrangements.
- Serve as the primary liaison between the MD and internal/external stakeholders.
- Draft, edit, and manage correspondence, presentations, and reports.
- Maintain strict confidentiality and professionalism in handling sensitive information.
- Conduct research, compile data, and prepare detailed reports.
- Plan and execute events, meetings, and conferences.
- Monitor and manage emails, ensuring timely responses and follow-ups.
- Organize and maintain files and documentation for easy access.
- Coordinate with departments to ensure seamless operations.
- Anticipate the MD’s needs and provide proactive support.
- Perform additional duties as assigned to support smooth business operations.
Qualifications and Skills
- Education: Bachelor’s Degree in Business Administration, Management, or related field; advanced degree is a plus.
- Experience: Minimum of 5 years as an Executive Assistant or similar role supporting senior executives. Experience working with foreign clients required.
- Technical Skills: Proficiency in Google Workspace (Docs, Sheets, Slides, Calendar, Drive, Meet, Gmail, Forms, Sites) and familiarity with project management tools (e.g., Trello, Asana).
- Communication: Exceptional verbal and written communication skills.
- Organizational Skills: Strong multitasking abilities and attention to detail.
- Problem-Solving: Excellent critical thinking and decision-making skills.
- Time Management: Proven ability to manage time effectively under pressure.
- Interpersonal Skills: High professionalism with strong relationship-building abilities.
- Discretion: Capability to handle confidential information responsibly.
- Adaptability: Ability to work independently and adapt to changing priorities.
- Professionalism: Strong ethics, reliability, and punctuality.
- Tech-Savvy: Ability to quickly learn new software and tools.
