Médecins Sans Frontières (MSF) is a private, international organization primarily composed of medical professionals but open to professionals from various fields. MSF offers aid to populations in distress, including victims of natural disasters, man-made disasters, and armed conflicts, regardless of their race, religion, creed, or political beliefs.
Médecins Sans Frontières (MSF) is currently seeking candidates for the position of Record Management Officer based in Abuja (FCT). This is a full-time position.
Job Main Purpose:
The Record Management Officer is responsible for managing, retaining, and disposing of both paper and electronic documents and records generated or received by the project/coordination. This includes maintaining confidentiality, integrity, reliability, and traceability of documents, facilitating retrieval for staff, explaining procedures to teammates, and promoting responsible management that respects the privacy rights of patients, communities, employees, partners, and donors by adhering to MSF guidance and protocol.
Main Duties and Responsibilities:
- Identify and maintain a list of master documents and records for each activity and location, ensuring essential information for ongoing operations and understanding MSF activities and decisions.
- Implement relevant MSF policies and guidelines for storing and archiving documents in a secure repository, conducting regular audits and clean-up activities.
- Ensure easy access to documents by establishing physical or digital access rights and publication methods.
- Develop practical processes for document backup, evacuation, hibernation, or destruction in emergencies, and report on their implementation.
- Assess and report on document management maturity.
- Implement strategies to improve record management quality per location, working with ICT and legal advisors to ensure compliance with local laws.
- Collaborate with the Data Management team to monitor and track patient files.
- Provide training to new staff and reminders to existing staff on document management processes, security measures, and data protection. Facilitate the transfer of document ownership during staff turnover.
