Job Summary

We are seeking an organized, proactive, and service-oriented Operations Associate / Front Desk Officer to support the smooth running of our Lagos office.

The successful candidate will oversee front-desk operations, office facilities, visitor management, conference room coordination, vendor relationships, mail and deliveries, and travel and accommodation arrangements. The role requires excellent organizational skills, attention to detail, strong communication, and the ability to follow through on multiple tasks.

Key Responsibilities
Reception & Front-of-House
  • Welcome visitors and provide a professional and courteous front-desk experience.
  • Manage incoming calls, reception emails, and visitor enquiries.
  • Maintain an accurate visitor log.
  • Ensure the reception area remains clean, organized, and professional at all times.
Conference Room Management
  • Manage conference room calendars and bookings.
  • Ensure meeting rooms are properly prepared before use.
  • Check that screens, TVs, markers, flipcharts, and other meeting requirements are available.
  • Coordinate room resets after meetings and provide light refreshments when requested.
Office & Facility Operations
  • Conduct routine office inspections and identify facility or maintenance issues.
  • Ensure the office remains clean, adequately stocked, and presentable.
  • Coordinate janitorial schedules and daily cleaning activities.
  • Follow up on outstanding facility issues and ensure timely resolution.
Security & Access Management
  • Coordinate access for visitors, contractors, and service providers in collaboration with on-site security.
  • Support basic incident response and promptly escalate security concerns.
  • Liaise with building management when necessary.
Vendors & Maintenance
  • Log facility and maintenance issues and raise service requests.
  • Schedule and supervise vendor visits for cleaning, maintenance, utilities, fumigation, air conditioning, waste management, and related services.
  • Follow up with vendors and confirm that assigned jobs are completed satisfactorily.
  • Maintain accurate vendor service records and work logs.
Mail & Deliveries
  • Manage incoming and outgoing mail, parcels, and deliveries.
  • Receive, record, notify recipients, and dispatch packages appropriately.
  • Track delivery exceptions and follow up on outstanding items.
Travel & Staff Accommodation
  • Arrange flights, local transportation, and accommodation for staff and visitors.
  • Manage company guest accommodation, including bookings and check-in/check-out coordination.
  • Coordinate basic upkeep of guest accommodation with janitorial support.
  • Share travel itineraries, arrival information, and check-in details with relevant staff.
Records & Reporting
  • Maintain accurate trackers for visitors, conference room bookings, vendor services, supplies, deliveries, travel, and accommodation.
  • Provide clear weekly updates on office operations, outstanding issues, and facility status.
  • Ensure office records are accurate, up to date, and easily accessible.
Health, Safety & Conduct
  • Identify potential workplace hazards and apply basic HSE controls.
  • Escalate risks, incidents, and operational exceptions promptly in line with company SOPs.
  • Promote a safe, professional, and well-organized workplace.
Requirements
Required
  • Bachelor's Degree or HND in any discipline.
  • Excellent spoken and written communication skills.
  • Professional, confident, and courteous front-of-house manner.
  • Strong calendar management and scheduling skills.
  • Proficiency in Microsoft 365 applications, particularly Outlook, Teams, Excel, and SharePoint.
  • Strong organizational and follow-through skills.
  • Ability to maintain accurate records, close action items, and identify potential issues early.
  • Ability to coordinate janitorial personnel and work professionally with vendors and building management.
  • Availability to work on-site at the Lagos regional office during business hours.
Desirable
  • Previous experience in front-desk operations, office administration, or facilities coordination.
  • Experience arranging business travel and accommodation.
  • Familiarity with vendor service logs, work orders, and basic building services such as air conditioning, utilities, and cleaning.
  • Basic knowledge of HSE practices and incident reporting.
  • Experience supporting meetings and events.
  • Knowledge of courier platforms and local service providers.
  • Experience using SharePoint lists or spreadsheet-based tracking systems.
