Job Summary
Maersk is seeking an experienced Administration Manager to provide comprehensive administrative and executive support to the Managing Director for Nigeria. The role combines administration management with executive support, stakeholder coordination, travel management, and operational problem-solving.
Key Responsibilities
- Manage the Managing Director’s calendar, appointments, leadership meetings, customer engagements, and competing priorities.
- Coordinate travel arrangements, visas, expatriate immigration cases, accommodation, itineraries, and expense reporting.
- Prepare agendas, presentations, briefing documents, executive summaries, and meeting materials.
- Track business decisions, executive priorities, milestones, and action items to ensure timely follow-up.
- Coordinate communication between the Managing Director, leadership team, customers, suppliers, and regional stakeholders.
- Organise leadership meetings, town halls, customer visits, workshops, executive visits, and strategic events.
- Support governance, document control, budget administration, purchase requests, supplier coordination, reporting, and cross-functional initiatives.
- Resolve administrative challenges by identifying practical and effective solutions.
- Maintain confidentiality when handling sensitive business and executive information.
- Contribute to continuous improvement of administrative processes and operations.
Requirements
- Bachelor’s Degree in Business Administration, Management, Communications, or a related discipline.
- At least 5 years of experience supporting senior executives, preferably Managing Directors, Country Managers, or C-suite leaders.
- Strong administration, organisation, stakeholder management, communication, and proactive problem-solving skills.
- Proficiency in Microsoft Office 365, including Outlook, Teams, Word, Excel, PowerPoint, SharePoint, and Copilot.
- Strong attention to detail and ability to manage multiple priorities.
- High level of discretion and confidentiality.
- Experience in a multinational organisation is an advantage.
- General understanding of shipping or logistics is an added advantage.
- Bilingual capability is an added advantage.
- A continuous improvement mindset and proactive approach to work.
