Job Summary
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide comprehensive support to the CEO. The ideal candidate will demonstrate strong communication skills, multitasking abilities, and a deep sense of discretion and professionalism. This role involves managing administrative tasks, project execution, communication, and calendar coordination to support executive effectiveness.
Key Responsibilities
Administrative Support:
- Manage executive calendar, including meetings, appointments, and travel
- Draft, review, and edit correspondence, presentations, and reports
- Organize and maintain accurate records and confidential documents
- Handle emails and phone communications on behalf of the executive
Meeting Coordination:
- Prepare meeting agendas, materials, and take detailed minutes
- Coordinate internal and external meeting logistics (venue, catering, tech)
- Follow up on action points and ensure timely execution
Project Management:
- Support planning and delivery of special projects and corporate events
- Monitor project timelines, budgets, and deliverables
- Collaborate with teams and external partners to ensure alignment
Communication and Liaison:
- Serve as the point of contact for internal and external stakeholders
- Represent the executive professionally in all communications
- Foster and maintain strong relationships with clients, partners, and teams
Confidentiality and Discretion:
- Handle sensitive information with a high level of confidentiality
- Protect personal and professional information of the executive
Requirements
- HND / BSc in a relevant field
- 2 – 4 years of experience as an Executive Assistant or in a similar administrative role
Skills
- Excellent organizational and time-management abilities
- Strong written and verbal communication
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Ability to multitask in a fast-paced environment
- High attention to detail and problem-solving skills
- Professional demeanor and interpersonal skills
- Graphic design skills (an added advantage)
